    Nestled in a quiet residential neighborhood with a view of the Cascade Mountains, the Northwest Arts Center (NWAC) is a community center run through the City of Bellevue Parks and Community Services Department. When we are not running programs, three of our studio spaces are available to rent. The NWAC is ideal for social gatherings such as rehearsals, classes, birthday parties, baby showers, business meetings, retreats and religious services.

    Studio B: Multi-Purpose Room

    This medium-sized classroom includes a pull-down projection screen, long countertop, 2 sinks, large white board, folding tables and chairs. Renters can enjoy a view of the community center's grounds and mountains on the horizon.

    • Rental fee: $45 per hour. Set-up and clean-up must be included in rental time.
      • Facility staff fee: $30 per hour (applied outside of business hours, M-F, 9am-5pm)
        • Other fees may apply.
      • Non-profits: 30% discount on room rental rates with proof of non-profit status.
    • Rental minimum: Two hours.
    • Capacity: 40 people (20 if seated at tables)
    • Size: 735 sq. ft.
    • Equipment: 10 tables, 20 chairs, pull-down projector screen

    Studio C: Meeting Room with Kitchen

    This small room includes an oven range, refrigerator, freezer, microwave, sink, dishwasher, folding tables and chairs.  

    • Rental fee: $30 per hour. Set-up and clean-up must be included in rental time.
      • Facility staff fee: $30 per hour (applied outside of business hours, M-F, 9am-5pm)
        • Other fees may apply.
      • Non-profits: 30% discount on room rental rates with proof of non-profit status.
    • Rental minimum: Two hours.
    • Capacity: 12 people
    • Equipment: 4 tables, 12 chairs

    Studio D: Dance & Fitness Studio (No food or beverages permitted)

    This large room has a sound system, cathedral ceiling, full-size mirrors, ballet barres, beautiful wood floors and natural light.

    NO food or beverages (except water) permitted in this studio. 

    • Rental fee: $70 per hour. Set-up and clean-up must be included in rental time.
      • Facility staff fee: $30 per hour (applied outside of business hours, M-F, 9am-5pm)
        • Other fees may apply.
      • Non-profits: 30% discount on room rental rates with proof of non-profit status.
    • Rental minimum: Two hours.
    • Capacity: 100 people (60 if seated at tables)
    • Size: 1,950 sq. ft.
    • Equipment: 8 tables, 100 chairs

    Rental Requirements

    • Rental requests must be made at least 30 days in advance.
    • Rentals must be booked for a minimum of two hours.
    • Rental reservations must be made by a person 21 years of age or older. 

    Room Availability

    • The NWAC is open for rentals daily (except federal holidays) from 8 a.m.-10 p.m.
    • Weekday evenings, Saturday mornings and Sundays are rarely available for one-time rentals due to our regular program and ongoing rental schedule. Please inquire for availability.
    • Our ability to support rentals is dependent on staff availability. We often have to confirm staffing before we are able to book a rental. 

    Rental Request Process

    1. Inquire about our rental availability for your desired date, time and studio(s) by calling or emailing us.
      • Please note that the NWAC books rentals on a quarterly basis. Early submissions are welcome but will not be considered until the booking time frame.
        • January-March Rentals: Begin booking mid-November
        • April-June Rentals: Begin booking mid-February
        • July-September Rentals: Begin booking mid-May
        • October-December Rentals: Begin booking mid-August
    2. Book a tour of the facility by email or phone. (Recommended)
    3. Review our Facility Rental Guidelines.
    4. Submit the required forms linked below by email, mail or in person.
      • Facility Use Request Form (Required)
      • NWAC Supplemental Form (Required)
      • Indoor Facility Special Use Form (Required if hiring a vendor or planning to serve alcohol, see more information below under the 'Special Use Permits & Alcohol' tab)
      • A $30 per hour Facility Staff Fee applies to all rentals outside of regular business hours.
    5. Your request will be taken under review. Review can take up to a week and acceptance is often dependent on staffing. We will notify you if your request is accepted or not as soon as possible. 
    6. If your rental is accepted by our staff, we will send you a rental permit to confirm the booking and connect with you about payment. Here are our payment terms: 
      1. Payment in full is required for reservations made 30 days or less in advance. 
      2. The payment schedule for reservations in a single month made more than 30 days in advance is: 
        • 50% of the hourly rental fee is due when the request is processed.
        • The remaining 50% of the hourly rental fees, plus the facility staffing fees, are due a minimum of 30 days prior to the rental date.
    7. Your rental is officially booked once you confirm your rental permit with us and pay the rental deposit. 

    Renter Guidelines and Responsibilities

    All renters are expected to review and abide by the City of Bellevue's Facility Rental Guidelines. 

    At the time of your rental, our staff will review a Facility Inspection Checklist with you. Renters are expected to complete the tasks on this list before their rental ends. Failure to do so could result in a cleaning fee charge and/or rental time charged at twice the rate in 15-minute increments.

    Is the Facility Staff fee required for all rentals? 
    The $30 per hour Facility Staff Fee is required for all rentals that occur outside of office hours. Our office hours are Monday through Friday, 9:00a.m. - 5:00p.m.

    Set-up and Clean-up:
    Renters are responsible for all set-up and clean-up. Both should take place during the scheduled rental time.

    Alcohol: 
    Only beer, hard cider, wine and champagne are allowed. Permits and a permitted server over age 21 are required.

    Catering: 
    Drop-off catering (catering staff does not stay at NWAC during event) does not require a permit and fee. On-site catering requires permits and fees.

    Decorations: 
    No helium balloons are allowed inside NWAC. Helium bouquets can be placed outside near the entrance doors or attached to the NWAC sign. Renters must use blue painter's tape only.

    Ongoing Weekly Rentals: 
    Requests for ongoing weekly rentals are accepted at NWAC. Two-hour rentals during the same day/time each week are required. Call or email NWAC for availability, payment plan information and reservation policies.

    Facility/Parking Information:

    • Northwest Arts Center is a City of Bellevue community center.
    • NWAC is an ADA-compliant facility.
    • The center has 32 public and 2 accessible parking spaces.
    • There's a convenient drop-off/loading zone next to the facility.
    • The picnic area with four picnic tables is not reservable.
    • BBQ grills are NOT allowed at NWAC.

    Special Use Permits & Alcohol

    On-site Catering, Inflatables, Special Equipment, Entertainment Vendors: 
    The information below is required and must be provided to NWAC 21 days prior to your rental date:

    • Indoor Facility Special Use Form and applicable fee (renter's responsibility)
    • City of Bellevue Business License (vendor's responsibility)
    • Certificate of Insurance (vendor's responsibility)

    Alcohol Permits:
    These permits are required and must be provided to NWAC 21 days prior to your rental date:

    • Washington State Liquor & Cannabis Board (WSLCB) - Banquet Permit or Special Occasion License
    • Alcohol Server's Class 12 Mixologist Permit

    Cancellation & Rescheduling Policy

    All rental cancellations must be made in writing (email is acceptable) to the facility being rented from. 

    • Cancellations made 30 or more days prior to the reservation will result in a charge of a $35 administrative fee. Any additional fees paid will be refunded.
    • Cancellations made 14-29 days prior to the reservation will result in a charge of a $35 administrative fee or 50% of the hourly rental fees (whichever is greater).
    • Cancellations made 0-13 days prior to the reservation will result in no refund of the hourly rental fees. 

    Facility staffing fees may be refunded in full if the reservation is cancelled in advance and the City has acknowledged receipt of cancellation email. 

    Requests to change the time or date of a reservation will be accepted in writing (email is acceptable). Approval is subject to facility and staff availability. Additional rental fees must be paid in full at the time of the change. Date changes will be treated as a cancellation and new reservation. 

    The City, acting in good faith, may cancel the reservation if the facility requested becomes unsafe for the intended use. Such circumstances include but are not limited to, natural disasters, environmental hazards, civil disturbances, or other events affecting public health and safety. In such circumstances, the City is under no obligation to provide a refund, but it may do so at its sole discretion. The City will attempt to give the renter reasonable notice of the cancellation.
